Job Description

Operational Responsibilities

(i) Coordinate progressing of orders already placed with suppliers for timely delivery

(ii) Coordinate annual stocktaking and stores verification exercises to facilitate reconciliation with stock records and to inform the next year’s procurement plan

(iii) Raise Purchase and Service orders in the IFMIS systems for initiation of payments to suppliers before submission to the Chief Finance Officer for approval

(iv) Provide technical and administrative support to respective Committees during the tender and quotation opening process

(v) Inspect and receipt goods to ensure accuracy of supplies delivered

(vi) Receive, accept and inspect transaction on the IFMIS system and forward to accounts to ensure proper payments are made

(vii) Handles internal standing imprest for the division to ensure proper utilization of funds

(viii) Carry out market surveys and research to inform continuous improvement initiatives for the supply chain function

Qualifications Knowledge and Skills:

(i) Bachelor’s degree in Commerce - Economics, Business Administration, Procurement and Supplies Management, Marketing from a recognized University

(ii) Computer literacy

(iii) Knowledge of Public Procurement and Disposal Act

(iv) Communication skills (v) Interpersonal skills

(vi) Organizational skills

(vii) Ability to work under pressure

(viii) Ability to work well with teams

(ix) Problem solving skills

(x) Supervisory skills

(xi) Meet the requirements of Chapter Six of the Constitution of Kenya

(xii) Four (4) years of service in a comparable position from a reputable organization
